This notice explains how Renownly handles personal data in line with the UK GDPR and the Data Protection Act 2018. It applies to people whose data we hold as prospects, clients, website visitors and contacts.
01Who we are
Renownly provides AI-visibility audits for UK accountancy firms. For the purposes of UK data protection law, the data controller is:

02Data we collect
Depending on how you interact with us, we may process:
- Free-tool data. When you request a free Snapshot, we collect the business email you give us and the firm details you submit (your firm name, town, website and the work you most want to win). We use these to give you the result and to follow up about our service, as described below.
- Prospect / marketing data. Name, business email, role, employer, LinkedIn profile and publicly listed company contacts, gathered from your website, LinkedIn, Companies House and other public sources.
- Client data. Contact and billing details, and any materials you provide for your audit.
- Website & analytics data. Aggregate, cookieless usage figures only (see our Cookie Policy). We do not track you across sites.
- Payment data. Processed via a third-party payment provider, Stripe (Stripe Payments Europe, Ltd). We do not store full card details.
We do not seek special-category data (such as health, ethnicity or political views), and we ask clients not to send it. Please do not include special-category data in materials you share with us.
03How and why we use it
We only use personal data where we have a lawful basis to do so under Article 6 of the UK GDPR:

When you submit your email to a free tool, you are asking us to send you that result, so we rely on your consent to produce and send it. We then rely on legitimate interests to follow up about our service (a short series of emails), because you are a business contact who has just asked us to look at your firm. You can opt out at any time, in one click, and we will not contact you again (see section 8).
Where we rely on legitimate interests for B2B marketing, we have carried out a Legitimate Interests Assessment balancing our interests against your rights, and we contact corporate subscribers only. Our website analytics are aggregate and cookieless, so they set nothing on your device and do not require a consent banner (see our Cookie Policy).
04How long we keep it
We keep personal data only as long as we need it:
- Free-tool data (checker / Snapshot email and the details you submit): until you opt out, or 24 months from our last contact, whichever is sooner. If you opt out, we keep only the minimum needed for the suppression list below.
- Prospect data: until you opt out, or 24 months from our last contact, whichever is sooner.
- Suppression list: kept indefinitely, used only to make sure we do not contact you again.
- Client records: for the duration of the engagement plus 6 years.
- Accounting records: 6 years, to meet legal obligations.
- Analytics data: aggregate and cookieless, with no record tied to you as an individual.
06International transfers
Some of our service providers may process data outside the UK. Where they do, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses.
07Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you;
- Have inaccurate data corrected (rectification);
- Ask us to erase your data in certain circumstances;
- Restrict how we process your data;
- Receive your data in a portable format;
- Object to direct marketing at any time.

08Direct marketing & opt-out
If you receive a marketing message from us, it is because we believe our AI-visibility service is relevant to your firm, or because you used our free Snapshot and we are following up once. Every marketing message includes a free, working opt-out and a link to this notice. You can opt out at any time by using the unsubscribe link or by replying "unsubscribe". We action opt-outs promptly and add you to a permanent suppression list so we do not contact you again.
